AlA & CSI EXECUTIVE DIRECTOR

SUMMARY OF POSITION:

The Executive Director serves as the strategic, handson leader for AIA Akron & Akron-Canton CSI and ensures the Chapters’ role as a constituent friendly source of education, information, community involvement, business support and development, and as an advocate of the profession locally, statewide, and nationally. This is a part time, hourly position that reports to he President of the AIA Akron & Akron-Canton CSI Chapters’ Board of Directors.

DUTIES & RESPONSIBILITIES:

Organization-Wide Leadership

Connect with the Local, State, Regional, and National components of AIA & CSI to maintain a timely flow of information and objectives from around the organization.

Attend and actively engage in the State and National Conventions and National Grassroots events.

Maintain relationships with Chapter vendors, supporters and strategic academic partners:

Kent State University College of Architecture and Environmental Design, Akron Community College, The University of Akron, and other allied professional organizations ,

Operational and Fiscal Management

Cultivate and lead a professional office environment to provide a productive and inspired team in the support of AIA Akron and Akron Canton CSI..

Maintain the assets of AIA Akron & Akron-Canton CSI, including office space, computer system, telephone system, and office equipment and supplies.

Chapter Process Management

Organize, manage, promote, and attend the activities of the AIA Akron & Akron-Canton CSI, which range from monthly Board meetings and Chapter meetings to speakers, annual events, special events, and fundraisers.

Coordinate event logistics including caterers and vendors, registration and fees, and ancillary services such as Learning Unit registration and reporting, and professional license study Materials.

Maintain the Chapters’ calendars and coordinate all events and meetings for the Chapter and affiliated organizations as needed.

Manage all Chapter communications and program marketing, including newsletters, announcements, social media postings, and Chapter website with the goal of presenting relevant, accurate, and timely communications; to be coordinated with each Chapter’s web designer.

Provide support to the Chapters’ committees, including attendance at key committee meetings and follow through with assigned tasks in order to maintain continuity and communication among groups.

Prepare and present an Executive Director's report at monthly Board meetings.

Refine and implement necessary updates to organizational guidelines, personnel documents, and operational policies and manuals.

Facilitate activities related to membership which include; active recruitment and welcoming of new members, tracking of nonrenewals, research and reporting of membership trends, and needs assessment of membership.

Strategic Planning and Long-Term Development

Work with Chapter leadership to undertake member surveys and Strategic Planning sessions to update Chapter initiatives at intervals defined in the Chapter bylaws.

Implement the core directives of the Strategic Plan and support the plan as a document guiding the initiatives, policies, and goals of AIA Akron and Akron-Canton CSI.

Cultivate best practice examples from other chapters and similar organizations to improve and expand programs to best fit the aspirations of the Chapters.

Develop, secure, and expand corporate sponsorship base, fundraisers, and other nondues revenue sources and foster relationships with sponsoring organizations in order to maximize their value and investment. Policy and Professional Advocacy

Assist the Boards and other members in the crafting and maintenance of the Chapters’ Advocacy Strategic Plan and supporting policies.

Coordinate proactive and timely engagement with AIA Ohio to address statewide advocacy and legislative issues that impact the AIA Akron and Membership base.

Outreach and Community Engagement

Assist the Chapters in the development and implementation of programs and events designed to enhance the stature of the profession through benefit to the public.

Assist, alongside the Chapter Boards, in the selection of AIA Akron & Akron-Canton CSI members to be recognized for achievements.

Documentation of Hours

● Document time spent on AIA and CSI tasks, both separately and shared, daily

o If a task is shared, split time equally between AIA and CSI on timesheet

● Submit a timesheet to: AIA Treasurer, CSI Treasurer, AIA President, and CSI President for review and approval.

CHAPTER SPECIFIC JOB RESPONSIBILITIES/TASKS

AIA Board Meeting

● Prepare, review and coordinate with the President an agenda for the Board meeting.

● Compile data and pertinent information on the agenda items for presentation to the Board.

● Give written notice by email to all Board members and invited guests a week before meeting, and confirm who will be in attendance with goal of having a quorum at a minimum.

● Chapter Secretary will take minutes. Review minutes with President and Secretary before distribution.

● Distribute meeting minutes from previous board meeting a minimum of one week prior to the next Board meeting.

● Be familiar with Chapter bylaws and policies.

● Understand Roberts†Rules†of†Order†. Chapter meetings are to follow procedures.

CSI Board Meeting

● Prepare, review and coordinate with the President an agenda for the Board meeting.

● Compile data and pertinent information on the agenda items for presentation to the Board.

● Give written notice by email to all Board members and invited guests a week before meeting, and confirm who will be in attendance with goal of having a quorum at minimum.

● Chapter Secretary will take minutes. Review minutes with President and Secretary before distribution.

● Distribute meeting minutes from previous board meeting a minimum of one week prior to the next Board meeting.

● Be familiar with Chapter bylaws and policies.

● Understand Roberts†Rules†of†Order†. Chapters meetings are to follow procedures.

AIA Chapter Meeting

● Secure meeting venue and coordinate meeting needs with venue (times, registration table,

projection screen, table for projector, extension cords, power strip, etc.).

o Coordinate premeeting seminar, if occurring.

o Coordinate with Sponsor(s), if any. Make table tents.

● Coordinate location and needs of speaker (projector, etc. – Chapter does not have a projector).

● Submit AIA CES Program LU registration on AIA Website 3 weeks prior to event (CES has 7 working days approval time).

● Take reservations with online registration.

● Prepare and print list of all registrants to be used as signin sheet at meeting.

● Determine New Members in attendance so that they may be greeted.

● Prepare and print nametags.

● Prepare and print continuing education certificates.

● Prepare and print program assessment forms for distribution at program.

● Prepare list of announcements and speaker biography (if applicable) for introduction by President.

● Arrive at meeting location within sufficient time prior to event to confirm room(s) setup and setup registration table.

● Attend meeting social hour for registration purposes.

● Register all attendees and accept guest fees.

● Confirm payment of the venue either night of event or invoice to be paid by Treasurer. Follow up with Treasurer to make sure that payment has been made.

● Submit list of AIA attendees’ LUs to AIA CES. CSI Chapter Meeting

● Secure meeting venue and coordinate meeting needs with venue (times, registration table, projection screen, table for projector, extension cords, power strip, etc.)

o Coordinate with Sponsor(s), if any. Make table tents.

● Coordinate location and needs of speaker (projector, etc. chapter does not have a projector).

● Submit AIA CES Program LU registration on AIA Website 3 weeks prior to event (CES has 7 working days approval time).

● Take reservations with online registration.

● Prepare and print list of all registrants to be used as signin

sheet at meeting.

● Determine New Members in attendance so that they may be greeted.

● Prepare and print nametags.

● Prepare and print continuing education certificates.

ADDITIONAL REQUIREMENTS (Valued, but not required):

Some travel is required.

Certified Association Executive certification if not currently held will be a requirement of continued employment after three years of employment with the Chapters.

Bachelor's degree in related field.

Prior professional experience in nonprofit association management, strategic planning, and/or marketing.

HOURS:

Parttime,

Monday – Friday (establish hours with potential employee) and includes some

evening/weekend hours
